A worksheet for agency client projects
Know what the client price leaves.
A supplier’s quote covers their work. Add your agency’s design, management and testing time before deciding what to charge the client.
The starting figures are a hypothetical website project. They are not Kyln prices or recommended margins. Change them to reflect the work you have scoped.
1. Cost the work
All figures exclude VAT. Use internal cost rates, including employment costs where applicable. Include founder time. Avoid counting overhead twice.
2. Check the client price
Extra cost is measured from your original plan. Contingency is an allowance, not money already spent.
Calculated client price at 30% margin
£9,428.57
Cost allowance ÷ (1 − target margin). Assess this figure against the scope and client budget before setting your quote.
- Planned delivery cost
- £6,000.00
- Contingency allowance
- £600.00
- Total cost allowance
- £6,600.00
- Amount left at your client price
- £2,850.00
- Planning margin at your client price
- 30.2%
- Amount left after extra costs
- £1,950.00
- Margin after extra costs
- 20.6%
- Supplier: £4,000.00
- Agency time and purchases: £2,000.00
- Contingency: £600.00
Adding 30% markup instead would give £8,580.00. Markup is a percentage of cost; margin is a percentage of selling price.
Your figures stay in this page. They are not saved or included in an enquiry. Copying puts them on your device’s clipboard.
What this calculation cannot tell you
Planning margin is the amount left after the costs you include here. It is not net profit. Omitted overhead, sales costs and other business expenses still need paying.
Contingency does not answer an unresolved technical question. Investigate an uncertain integration or agree an exclusion before promising a fixed client price.
Check payment timing separately. A profitable project can still leave you funding supplier deposits and payroll before the client pays.
The example starts with £6,000 of planned costs and £600 contingency. A 30% markup produces £8,580; a 30% planning margin requires £9,428.57. At a rounded client price of £9,450, the allowance leaves £2,850. If actual costs reach £7,500, £1,950 remains.
